Commercial Administrator

As the successful Commercial Administrator, you’ll support our busy commercial team in the administration of key functions, both project related and central departmental responsibilities. Liaison with the finance department; administration team and daily contact with members of the commercial team will be key functions of the role. Develop and maintain beneficial and collaborative relationships with all stakeholders and colleagues.

Key Tasks & Responsibilities:

  • Collate data from the CVR process and prepare the monthly CVR summaries.
  • Receive data from the commercial team and prepare income summaries to support cash flow control.
  • Administer, reconcile and circulate data from the commercial software (Eque2) to support the commercial team in the preparation of project CVRs.
  • Receive data from the commercial team and prepare subcontract/supplier liability summaries to support cash flow control.
  • Collate figures to facilitate monthly WIP analysis.
  • Administer the subcontract order process.
  • Administer printing and collation of contracts for signature by the Commercial Manager and Managing Director
  • Administer records relating to subcontractor performance and competency.
  • Assist in preparation or commercial reports for the monthly board meeting.
  • Administer the processing of payments to subcontractors.
  • Assist in producing dashboard reports to reflect key commercial metrics for projects.
  • Follow internal commercial procedures.
  • Assist in reconciling accruals for projects in support of the CVR process.
  • Support estimators with commercial data as required or requested.
  • Proactively seek and improve internal commercial processes to find efficiencies and remain relevant and current
  • Maintain training records for internal trainees, students and apprentices to assist with their development.
  • Attend commercial team meetings and prepare minutes of the meetings.
  • Regularly liaise with key members of other departments and maintain good working relationships.

Anticipated/ Aspirational Qualifications/Experience/Technical knowledge:

  • Previous experience in the construction industry desirable but not essential.
  • Confident with all Microsoft office packages
  • Experience in Eque2 Construct or similar, desirable but not essential.
  • Experience with spreadsheets and data management
  • Strong numeracy skills
  • A finance background would be advantageous.
